Challenge
Lotaro uses a multi-channel strategy for cold outbound, combining LinkedIn, cold calling, and email with high quality standards: every contact should be addressed personally and individually. To achieve this, the team checked each lead to see if there was a content match with their own services and formulated a suitable, personalized hook. This process took an average of around 10 minutes per contact and was therefore not very scalable.
After this preparation, contacts were networked on LinkedIn and contacted simultaneously by phone and email. Separate tools were used for each channel: one for LinkedIn, one for researching contact details, and another for sending emails. Since these systems were not connected to each other, contacts had to be synchronized manually, which caused additional effort.
There was also a technical challenge in the email channel: automated messages were not delivered reliably and sometimes ended up in spam, resulting in a lack of feedback.
Lotaro therefore was looking for a solution that would automate and scale personalized messaging, while bundling all channels and integrating seamlessly with the existing HubSpot CRM to centrally control the entire sales process.

Lotaro decided to implement Venta AI based on several factors:
1. Scalable, AI-based messaging
The most important factor was the ability to automate highly personalized communication. Instead of manually drafting each email, Venta AI creates customized messages based on company profile, role, and context. This keeps communication personal and relevant while significantly reducing the time spent per contact.
2. All-in-one platform for all cold calling
LinkedIn, email, and phone are combined in a central workflow. Combined LinkedIn and personal email campaigns can be implemented seamlessly without having to run multiple tools in parallel or manually synchronize contacts.
3. Optimized email infrastructure for cold mailing
Deliverability is continuously monitored and improved. The use of multiple email addresses per sender and intelligently optimized messages ensures that campaigns are delivered reliably and do not end up in spam.
4. Deep integration with HubSpot
Companies, contacts, and activities are automatically synchronized and matched based on lifecycle stages. Existing customers are excluded, all interactions are centrally documented, and the entire sales process is transparently mapped in the CRM.
Results
Lotaro has been actively using Venta AI in sales for six months and has implemented six campaigns for different industries during this time. As a basis for its use, a deep integration into the HubSpot CRM was carried out. Automatic synchronization of the lifecycle stages ensures that no existing customers or already known contacts are addressed.
On this basis, Lotaro implements combined LinkedIn and email campaigns, supplemented by cold calling. Target groups and personalized messages are prepared with AI support, contacts are enriched with phone numbers as needed, and manually checked and approved before being sent. All activities are then automatically synchronized in the CRM.
The cold calling team accesses the prepared leads directly in HubSpot and carries out structured follow-ups – cross-channel, centrally controlled, and scalable.

The campaigns implemented with Venta AI impressed with their intelligent individualization of the approach. In most cases, the messages prepared by the AI were ready to use and did not come across as spammy or generic. This enabled Lotaro to implement its high-quality, personalized cold calling in a scalable way for the first time, without having to manually research and formulate each contact.
The results highlight this effect: 15% of the leads contacted responded, 3% directly with concrete interest.
At the same time, the average cost per lead was around €150 – well below the defined target value of €250. Compared to alternative channels such as LinkedIn Ads or external cold calling providers, Venta AI proved to be a significantly more cost-effective solution.
By automating personalized messaging and consolidating the entire process into a single tool stack, Lotaro was also able to achieve time savings of around 90%.
