MAY+SPIES and the brands associated with the company sell high-quality paper and specialty products to clearly defined, often highly specialized B2B target groups. It is crucial for the company that the target groups addressed meet its own high quality and brand standards. Not every potential address is suitable; rather, it is a matter of carefully selecting the right partners.

However, the sales process was highly manual. A large part of the time was spent researching suitable companies, carefully checking their suitability for the company's own quality standards, and identifying the right contact persons.

Added to this was the high demand for a personal approach. Each contact should be individually formulated and tailored to the respective recipient. For the small sales support team, this meant that reach and speed were severely limited by available capacities and were not scalable. At the same time, there was a certain skepticism towards automation and AI, as personal control over tone and content should be maintained at all times.

Why Venta AI?

MAY+SPIES initially tested Venta AI with a free 7-day trial. The added value was already very clear at this stage: the aim was to save a noticeable amount of time without compromising on the quality of communication, to achieve a better hit rate with contacts, and to achieve results that would otherwise only be possible manually with a very high time investment.

These expectations were met exactly. The use of Venta AI made everyday sales work much easier and saved a significant amount of time. The effort required for research and preparation was minimal in relation to the results. Content and contact suggestions that would have taken several weeks to prepare manually could be prepared in a short time. For the introduction of Venta AI, MAY+SPIES appointed a person responsible for sales support who actively used the tool over a period of three months and acted as the central contact person. The aim was to test Venta AI in a structured manner and gradually integrate it into everyday sales activities.

As part of this pilot phase, two separate campaigns were implemented for different products. One campaign focused on scent strips, the second on digital adhesive papers. Both campaigns were aimed at different target groups in order to evaluate the possible applications of Venta AI in different contexts. The clear focus was on sending high-quality, personalized messages. A response rate of at least 10 percent was defined as the target.

After a joint kick-off, the campaigns were implemented and monitored by Venta AI in monthly status meetings. To ensure that no existing customers were contacted, a blacklist of existing customers was created at the beginning. The operational time required remained manageable at around two hours per campaign created, which could then be scaled as required. Compared to the previous manual effort of approximately 10 minutes per contact, this represented a considerable time advantage, as the campaign now only had to be created once.

The results of the three-month test phase clearly confirmed the added value of Venta AI. Both campaigns achieved stable response rates of around 20 percent, significantly exceeding the originally defined target of at least 10 percent. It is particularly noteworthy that these results were achieved with a high-quality, personalized approach rather than generic mass communication.

At the same time, the time required remained very low. Only around two hours were needed to plan, implement, and optimize a campaign. Compared to the previously highly manual processes, this represented a considerable reduction in workload, as it was no longer necessary to manually create an individual message for each individual contact. At the same time, Venta AI made it possible to implement high-quality outbound communications much more efficiently.

Based on these results, MAY+SPIES decided to use Venta AI on a permanent basis and roll it out across the group. The tool will be used in all sales teams of the MAY+SPIES Group in the future to further professionalize target group communication, save time, and at the same time ensure the brand's high quality standards.
